Classification Handling of Cross-Account Transfers in QuickBooks Online: How to Correctly Allocate Rental Income via Journal Entries
QuickBooks Online (QBO) users face the issue that cross-account transfers cannot be directly assigned a category. When rent is mistakenly deposited into checking account A, but should be deposited into account B used for property management, the user needs to classify this transfer under the rental income of a specific property while ensuring the balances of both accounts are correct. In QuickBooks Online (QBO), we have two checking accounts, each corresponding to a separate business. Sometimes, funds need to be transferred from one account to another, and that transfer needs to be classified under a specific liability or expense account. However, since QBO only uses double-entry bookkeeping, the system does not allow adding a category directly during a transfer—it only allows recording the transfer and matching it between the two accounts. Is there some kind of journal entry or other operation that can achieve classification without causing the balances of each account to become unbalanced? Here is a specific example:
The rent for one of our properties was paid into checking account A, but that rent should have been deposited into checking account B—which is the account we use to manage property funds. I need to classify this rent to the specific property so that it appears in the profit and loss statement (P&L). When matching bank transfers in QBO, there is no option to add a category. I suspect this requires some kind of journal entry, but I have not yet figured out how to prepare an entry such that checking account A shows the transfer out, checking account B shows the transfer in, while the same amount is also recorded as rental income for that property, and the balance of each account remains correct.
