At a webinar titled "Excel Forecasting Techniques" held yesterday, a participant asked me this question: "For a typical small or medium-sized enterprise, how much time is spent on average each month on forecasting and budget vs. actual reports?" I am very much looking forward to hearing everyone's insights and feedback.

This question seems simple, but it touches on the core efficiency issues of financial planning and performance monitoring. Companies of different industries and sizes vary significantly in their data foundations, process maturity, and tool usage levels, so the actual time spent can range from a few hours to several days. However, without benchmark data, managers often find it difficult to assess whether their team's workload is reasonable.

To explore this more deeply, let's break it down from several dimensions:

  • Data preparation and cleaning: Exporting data from ERP or business systems and ensuring its accuracy and consistency usually takes up a significant portion of time.
  • Model building and updating: Whether using complex Excel formulas or professional forecasting software, maintaining and updating forecasting models requires ongoing investment.
  • Budget vs. actual variance analysis: Generating variance reports and explaining key deviations often requires cross-departmental communication.
  • Management reporting and iteration: Presenting results to decision-makers and adjusting forecast assumptions based on feedback is equally important.

It is worth noting that the word "average" mentioned in the webinar may mask the huge differences between companies. For example, a fast-growing tech startup may need to update forecasts weekly due to frequent business fluctuations, while a mature manufacturing company may follow a fixed monthly rhythm. In addition, the level of automation is also a key variable—companies that use templates and macros can often significantly reduce time spent.

I sincerely invite financial professionals, business managers, or consultants to share your observations or experiences in practice. How much time does your company or client spend each month on forecasting and budget execution reports? Which steps are the most time-consuming? Are there any optimization suggestions? Your feedback will help provide more valuable benchmarks for the industry.

I look forward to seeing your valuable insights in the comments section or in future discussions.
